What to include on a cleaning services invoice
Date each visit
If you invoice monthly for several cleans, list each date. Clients can match it to their calendar and spot a missed visit before it becomes a complaint.
Price add-ons separately
Ovens, fridges, baseboards, blinds and windows take real time. Listing them as add-ons keeps your base rate competitive and the extras clearly justified.
State your cancellation policy
Last-minute lockouts cost you a slot. Put your late-cancellation fee in the terms so it's documented before you ever have to charge it.
Note supplies and equipment
Say whether you used your own products, eco-friendly supplies or the client's. It answers a common question and supports any supply surcharge.

Payment terms for cleaning services invoices
Our suggestion: Due on service day for homes; Net 15 monthly billing for commercial accounts.
Sample terms you can paste into the invoice: “Payment due on the day of service. Cancellations with less than 24 hours' notice may be charged 50% of the visit. Any concern must be reported within 24 hours for a free re-clean.”

Cleaning Services invoice FAQ
How do cleaning businesses charge: hourly or flat rate?
Both are common. Recurring residential cleans often use a flat rate per visit based on home size, while deep cleans and move-outs are frequently hourly per cleaner. Many businesses publish a flat rate with clear add-on pricing.
Should a cleaning invoice include a lockout fee?
If you charge one, yes. A lockout or late-cancellation fee should be stated in your service agreement and shown on the invoice as its own line when applied. Applying it consistently helps avoid disputes.
Do I need to charge tax on cleaning services?
Some states and cities tax janitorial or cleaning services and others don't, and residential versus commercial work can be treated differently. Check your state revenue department before adding a tax rate.
