Web Development Invoice Template

Developers bill in sprints, milestones or tracked hours, and good clients want to see which features their money bought. This web development invoice template is built for that. List each sprint or milestone with the features shipped, add QA and code review time, and keep deployment, third-party API costs and maintenance retainers on separate lines. Referencing ticket numbers or a changelog makes approval faster for technical stakeholders, while a plain-language description keeps finance teams from bouncing the invoice back with questions.

What to include on a web development invoice

    • Reference sprints or tickets

Name the sprint or milestone and list the main features or ticket IDs delivered. Technical leads can sign off quickly.

    • Split fixed and hourly work

If the milestone was fixed-price but extra requests were billed hourly, show them on different lines with clear labels.

    • Pass through third-party costs

API usage, paid libraries or cloud services bought on the client's behalf should appear as separate reimbursable items.

    • Mention code ownership

A short line explaining when intellectual property transfers protects you if the project ends with an unpaid invoice.

Payment terms for web development invoices

Our suggestion: Billed per sprint or milestone, Net 15.

Sample terms you can paste into the invoice: “Work outside the agreed sprint scope is billed at $110 per hour. Source code ownership transfers upon payment in full; open-source dependencies remain under their own licenses. Late payments may pause further development.”

Not sure what Net 15 or 2/10 Net 30 mean? Payment terms explained.

    Web Development invoice FAQ

Should developers bill hourly or per milestone?

Fixed milestones suit well-defined scopes and give clients cost certainty, while hourly or sprint-based billing fits evolving products. Many developers combine both: fixed milestones for core features, hourly for change requests.

When does code ownership transfer to the client?

Contracts often say intellectual property transfers when the client pays in full. Pre-existing tools, libraries and open-source code usually remain under their original licenses. Have the details reviewed in your contract, as rules vary by jurisdiction.

How do I invoice a maintenance retainer?

Bill a fixed monthly amount that covers a defined number of hours or tasks, typically in advance. Note what happens to unused hours and the rate for work beyond the retainer.
