How to write a quote that wins the job

The first clear quote in the client's inbox often wins. Send it while the conversation is fresh, ideally the same day.

Be specific about scope
"Design and build a 5-page website, 2 rounds of revisions" beats "Website". Specific lines prevent arguments about what was included.

Show the price the way the client thinks
Break big numbers into phases or deliverables. A client who can see where the money goes is less likely to push back on the total.

Set an expiry date
A valid-until date creates a gentle deadline and protects you if costs rise. 30 days suits most service work.

Spell out how to accept, what deposit is needed and when you can start. End with signature lines so the decision is one step.
What to include on a quote
A quote becomes the basis of the invoice, so the same details matter. Make sure yours has:
- Quote number and date
- A reference such as QUO-0001 and the date you issued it, so the client can accept the right version.
- Valid until
- The date the price expires. It protects you from material price rises and stale quotes coming back months later.
- Scope of work
- One line per deliverable or item, specific enough that both sides agree on what is and isn't included.
- Prices, tax and total
- Quantities, unit prices, any discount, tax shown separately and a clear total.
- Payment terms
- Deposit required, when the balance is due and how you accept payment.
- How to accept
- What the client should do to say yes: sign and return, reply "Approved", or pay the deposit.
Quote vs estimate
People use the words interchangeably, but clients read them differently. Pick the one that matches how firm your price is.

How long should a quote be valid?
- 7 to 15 days: materials with volatile prices (metal, lumber, fuel), event dates that may be taken by someone else, or exchange-rate-sensitive work.
- 30 days: the sensible default for most freelance, agency and service quotes.
- 60 to 90 days: large projects, public bodies and companies whose purchase approvals take several weeks.
When a quote expires, you are free to re-price. If the client comes back late, send a fresh quote with a new number rather than editing the old one, so there is a clean record of what was offered when.
From accepted quote to paid invoice

Is this quote generator free?

Should I call it a quote or an estimate?
Use the Quote / Estimate switch in the editor. A quote is a fixed price the client can accept as-is; an estimate is your best guess that may change once the work starts. The document title, totals wording and file name follow your choice.
How long should a quote be valid?
30 days is the most common default. Use 7 to 15 days when your material or supplier prices move quickly, and 60 to 90 days for large projects that need board or committee approval. Set it with the Valid for buttons.
How does the client accept the quote?
Each quote ends with an Acceptance section with your wording plus signature and date lines. The client can sign and return the PDF, or reply in writing. Keep that reply with the quote.
Can I turn a quote into an invoice?
Yes. In a free account, open the saved quote and click Convert to invoice. You get a new invoice with the same items and prices, the next invoice number and your default payment terms; the quote stays on file.
Can I add payment details for a deposit?
Yes. Add PayPal, Wise, bank, UPI or mobile wallet details in the Get paid section. They print on the quote with a QR code, so the client can pay the deposit as soon as they accept.
