What to include on a freelance invoice
Reference the agreed scope
Name the project and milestone the invoice covers, and cite the proposal or contract date. That makes it easy for the client to approve without back-and-forth.
Separate out-of-scope work
Bill extra revisions or new requests on their own lines rather than folding them into the main fee. It documents scope creep and justifies the higher total.
Show deposits already paid
Collected a deposit up front? Subtract it on its own line, making the outstanding amount unambiguous.
Include your tax details
Add your business name and, where required, a tax ID. Some clients need it on file before accounts payable will release funds.

Payment terms for freelance invoices
Our suggestion: Net 14, with a 30-50% deposit up front on larger projects.
Sample terms you can paste into the invoice: “Payment due within 14 days of the invoice date. A late fee of 1.5% per month applies to overdue balances. Final files are released once payment clears.”

Freelance invoice FAQ
How do I invoice as a freelancer for the first time?
Add your name or business name, the client's details, a unique invoice number, the date, itemized services with rates, the total and a due date. Then include how you accept payment. The generator above lays those fields out for you so you only fill in the specifics.
Should freelancers charge sales tax on services?
It depends on where you and your client are located and what kind of service you provide. Many US states do not tax most professional services, while others tax certain digital or creative work. Check with your state revenue department or a tax professional before adding tax lines.
Can I add a late fee to a freelance invoice?
Yes, as long as the fee was agreed in your contract or stated in your terms before the work began. A monthly percentage such as 1 to 1.5% is common, but some states cap interest rates, so confirm the limit that applies to you.
