Copywriting Invoice Template

Writers get paid in many shapes: per word for blog posts, per page for websites, flat fees for sales emails, and monthly retainers for ongoing content. Whatever your model, the invoice should make the unit obvious. This copywriting invoice template lets you list each deliverable with its word count or page count, add research or interview time, and flag rush fees for 48-hour turnarounds. Clients in marketing departments often forward invoices to accounts payable, so a tidy breakdown with project names and PO numbers helps you get paid faster.

What to include on a copywriting invoice

    • Show the pricing unit

Whether you bill per word, per page or per piece, write the unit in each line description so the total is easy to verify.

    • Reference the client PO or project name

Marketing teams juggle many vendors. Including their purchase order number or campaign name prevents your invoice from stalling in approval.

    • Note revision limits

Mention how many revision rounds each piece includes. Rewrites caused by a changed brief can then be billed as new work.

    • Add research or interview time

Technical topics or subject-matter interviews take real hours. Bill them separately when they go beyond a normal brief.

    Copywriting invoice FAQ

Should copywriters charge per word or per project?

Per-word rates are easy to compare but can undervalue short, high-stakes copy like taglines or landing pages. Many experienced writers quote per project and use per-word pricing mainly for long-form articles. Choose the model that reflects the effort, not just the length.

When do copyright and publishing rights transfer?

Commonly, rights transfer once the client pays in full, which you can state directly in your invoice terms. Work-for-hire arrangements may differ, so check your contract. Rules can vary by country.

Can I charge a rush fee for fast turnarounds?

Yes, rush fees of 25% to 50% are common for deadlines shorter than your normal schedule. Agree on the fee before starting and list it as a separate line so clients see exactly what speed costs.
