What to include on a plumbing invoice
Separate the call-out fee
Show the trip or diagnostic charge as its own line. Customers accept it more readily when they can see it apart from the repair itself.
Note after-hours or emergency rates
If the job happened nights, weekends or holidays, label the higher labor rate clearly. A surprise premium with no explanation invites a chargeback.
List parts with brand and size
Write '3/4 in. ball valve, brass' rather than just 'valve'. Specifics help the homeowner with warranty claims and make your pricing look fair.
Add license and permit numbers
Water heater replacements and repiping often need a permit. Including the permit number and your license on the invoice keeps the record complete for inspections and resale.

Payment terms for plumbing invoices
Our suggestion: Due on completion for residential service calls; Net 15 for property managers.
Sample terms you can paste into the invoice: “Payment due on completion unless otherwise agreed. Labor is warranted for one year; parts carry the manufacturer's warranty. Returned checks incur a $35 fee.”

Plumbing invoice FAQ
Should a plumber charge a call-out fee on the invoice?
Many plumbers do, especially for diagnostic visits, and it's best listed as a separate line. Some waive or credit it if the customer approves the repair. Whatever your policy, tell the customer before you arrive so the charge isn't a surprise.
How do plumbers bill for parts versus labor?
Some bill time and materials, listing each part plus hourly labor, while others use flat-rate pricing per task. Flat rate is easier for customers to understand, while T&M suits unpredictable jobs. Either way, itemizing helps if questions come up later.
Do plumbers need to charge sales tax on invoices?
It depends on your state. Some tax parts only, some tax labor too, and some treat repair work differently from new installations. Ask a tax professional or your state's tax agency which rate to enter in the generator.
