What to include on a photography invoice
Define the usage license
State where the images may be used (web, print, advertising), for how long and in which regions. A personal-use license and a national ad campaign should never carry the same price.
Count the deliverables
List how many edited images are included and the per-image price for extras. Clients who pick 40 favorites from a 25-image package will know the cost up front.
Separate session and post-production
Bill shooting time and retouching as different lines. It shows the real labor behind each photo and makes rush-editing surcharges easier to justify.
Note deposits already received
If the client paid a booking retainer, subtract it on its own line. The amount still owed for the shoot is then unmistakable on the final invoice.

Payment terms for photography invoices
Our suggestion: 50% deposit to book the date, balance due 7 days before the shoot.
Sample terms you can paste into the invoice: “Image licenses transfer only upon payment in full. Copyright remains with the photographer. Usage beyond the licensed scope requires a separate agreement.”

Should photographers charge sales tax on photos?
It depends on your state. Some states tax digital image delivery or prints while exempting pure services, and the rules change frequently. Check with your state revenue department or an accountant, then add the tax rate in the generator above if it applies.
How much deposit should a photographer ask for?
Many photographers take 25% to 50% to hold a date, often non-refundable because that day is turned away from other clients. Weddings and large commercial jobs tend toward the higher end. Whatever you choose, put it in your contract and reflect it on the invoice.
Do I include copyright transfer on a photography invoice?
Usually you grant a license rather than transfer copyright, and the invoice should describe that license briefly. A full copyright buyout is uncommon and typically priced much higher. A written contract should carry the detailed terms, with the invoice referencing them.
