Web Design Invoice Template

Web design projects tend to drift. A five-page brochure site becomes eight pages, the client wants a blog, and the mobile layout needs another pass. If you invoice in stages, you get paid as each phase lands instead of waiting for launch. Use this web design invoice template to bill discovery and wireframes, high-fidelity mockups per page, responsive design, CMS setup and post-launch support. Keep hosting, domains and premium plugins on their own lines so the client knows which costs recur every year.

What to include on a web design invoice

    • Invoice by milestone

Tie payments to discovery, design approval and launch. Each invoice references the milestone so clients see progress against the plan.

    • List pages explicitly

Write how many pages or templates are included. Additional pages then become an obvious, billable addition.

    • Separate recurring costs

Hosting, domain renewals and plugin licenses renew yearly. Show them separately so the client budgets for them after launch.

    • Add support hours

Post-launch tweaks happen. Include a support line with an hourly rate or a prepaid block so small requests are not done for free.

    Web Design invoice FAQ

How should a web designer structure payments?

Milestone billing is common: a deposit at kickoff, another payment at design approval and the final amount at launch. This keeps cash flowing on long projects. The exact split depends on your contract and project size.

Who owns the website design after the project?

Typically ownership or a license transfers to the client once the final invoice is paid, excluding third-party assets like themes and stock images that carry their own licenses. Put the exact terms in your contract.

Should I bill hosting through my own invoice?

Some designers resell hosting with a markup, others have clients pay providers directly. If you include it, label it as a recurring service and specify the billing period to avoid confusion at renewal time.
