What to include on a painting invoice
Record color codes and sheen
Write the brand, color name or code, and sheen for each surface. It's the single most useful thing for future touch-ups, and clients will thank you.
Show prep as real work
List scraping, sanding, patching and masking as their own line or lines. Customers underestimate prep, and itemizing it justifies the price.
Note who supplied the paint
If you bought materials, show gallons and cost. If the homeowner did, say 'customer-supplied paint' so nobody wonders why the bill seems light on materials.
Mention lead-safe practices for older homes
For homes built before 1978, federal EPA rules require lead-safe certified renovators for many projects. Noting your certification on the invoice documents that compliance.

Payment terms for painting invoices
Our suggestion: One-third deposit to schedule, balance due at final walkthrough.
Sample terms you can paste into the invoice: “Balance due upon final walkthrough. Workmanship guaranteed for 2 years against peeling and blistering, excluding damage from moisture intrusion. Late payments incur 1.5% per month.”

Painting invoice FAQ
How do painters usually price jobs on an invoice?
Common methods include per square foot, per room, per hour, or a fixed bid for the whole project. Many residential painters quote fixed prices but still itemize by room or surface on the invoice. Pick the format that matches your estimate so the two line up.
Should painters ask for a deposit?
A deposit is common, especially to buy materials and hold a spot on your schedule. Some states limit deposit size for home improvement work, so check local rules. Credit the deposit on the final invoice so the balance is clear.
What warranty should a painting invoice mention?
Many painters offer a 1-3 year workmanship warranty covering peeling or blistering under normal conditions. State exclusions such as moisture damage or customer-supplied paint. Keep the terms simple and consistent with your contract.
