What to include on a rental / landlord invoice
Property address and unit
Identify exactly which rental the invoice is for, especially if you own more than one property.
Rental period
Write the start and end dates covered by the rent payment, and prorate any partial month.
Deposit and one-time charges
On a move-in invoice, list the security deposit separately from first month's rent so both parties know what is refundable.
Late fees as written in the lease
Charge only the late fee and grace period stated in the lease, and reference the clause.

Payment terms for rental / landlord invoices
Our suggestion: Due on the 1st of each month, with a grace period as set in the lease.
Sample terms you can paste into the invoice: “Rent is due on the 1st of each month. A late fee applies after the grace period stated in your lease. Security deposits are held according to state law.”

Do landlords have to give tenants a rent invoice or receipt?
Some states and cities require landlords to provide receipts, particularly for cash payments. Even where it is not required, a written invoice or receipt protects both sides if there is ever a dispute.
How much can a landlord charge as a late fee?
Limits vary widely. Some states cap late fees at a percentage of rent or a flat amount, and others only require that the fee be reasonable. Check local law and make sure the fee is written into the lease.
Should the security deposit appear on a rent invoice?
It is helpful to list it on the move-in invoice as a separate, refundable line. Many states regulate how deposits are held and returned, so follow the rules where the property is located.
