Interior Design Invoice Template

Interior designers earn money in two different ways, and clients should see both clearly. The design fee, whether hourly, flat or per room, pays for concepts, space planning and selections. Furniture, fixtures and equipment (FF&E) are procured for the client, often with a markup or procurement fee on top of trade pricing. Keep those categories apart on the invoice, collect deposits on custom orders before you place them, and list freight, receiving and installation separately so a delayed sofa does not hold up payment for your design work.

Suggested terms:
Design fees Net 15; FF&E paid in full or 50% deposit before ordering

What to include on a interior design invoice

    • Design fee vs. product

Show design services and FF&E as separate sections so clients see what they paid for expertise versus goods.

    • Item details for each piece

List the vendor, finish, dimensions and room for every product so there is no confusion at delivery.

    • Markup or procurement fee

Disclose how you charge for sourcing, either a percentage over trade price or a flat procurement fee, as your agreement states.

    • Deposits and balances

Track deposits received per item and the balance due before shipment.

    Interior Design invoice FAQ

What is FF&E on an interior design invoice?

FF&E stands for furniture, fixtures and equipment, meaning the movable items a designer purchases for a project. It is usually billed separately from design fees, and often includes a procurement markup or fee.

Do interior designers charge sales tax?

Sales tax on furniture and merchandise is required in most states, while tax on design services varies. Rules differ by state, so check with your tax authority or accountant and consider a resale certificate for trade purchases.

How much deposit should an interior designer ask for?

Many designers collect a design retainer up front and full payment or 50% on furniture before ordering, since custom pieces are rarely returnable. Put the deposit policy in writing before placing orders.
