Record the VIN and odometer
The VIN identifies the exact vehicle and the mileage anchors your warranty. Many state repair laws expect both on the final invoice.
Identify part type
Label each part as new OEM, aftermarket, used or rebuilt. Several states require this disclosure, and it heads off disputes about quality.
Show labor as book hours
Bill labor by flat-rate guide hours or actual time, and be consistent. Listing the hours and your shop rate makes the total easy to verify.
Note the customer's authorization
Record when and how the customer approved the work, especially for add-ons found mid-job. Written or recorded approval protects you if the bill is questioned.
