    What to include on a DJ & music invoice

    • Show the event date and times

      Write the venue, date, start and end times on the invoice. It becomes the reference point if the party runs late.

    • Price overtime in advance

      Add an overtime line with your hourly rate, even at zero quantity. Guests who want one more hour can then agree on the spot.

    • List gear packages

      Separate lighting, extra speakers, or ceremony audio from the base performance fee so clients see the value of the setup.

    • Note the deposit and cancellation policy

      State how much was paid to hold the date and what happens if the event is cancelled or rescheduled.

    How much deposit should a DJ require?

    Many mobile DJs ask for 25% to 50% to lock in a date, often non-refundable. Peak-season weekends may justify a higher deposit. Make sure the policy is written in your booking agreement and repeated on the invoice.

    How do DJs charge for overtime?

    Overtime is typically billed per hour or half hour at your standard rate or slightly above it. Agree the rate before the event so the client can approve extra time without awkward negotiation during the party.

    Should travel be on a DJ invoice?

    If the venue is outside your normal service area, a travel fee or mileage line is common. Some DJs also add parking or hotel costs for distant events. List these separately rather than hiding them in the performance fee.
