Accounting Invoice Template

Bookkeepers and accountants often juggle three pricing models at once: a flat monthly fee for reconciliations, a per-return price during tax season, and hourly rates for catch-up or cleanup work. Make each one its own line so clients see why this month costs more than last. Mention the period being closed, the number of accounts reconciled, or the specific tax forms prepared. Because your clients trust you with their numbers, a tidy, accurate invoice also reinforces your credibility as the person keeping their books in order.

What to include on a accounting & bookkeeping invoice

    • Name the period covered

Write the month or quarter being closed, for example 'September bookkeeping', so clients can match the bill to the reports they received.

    • List tax forms prepared

For tax work, identify the return or form type and tax year, such as a Form 1120-S for 2025, rather than a generic 'tax prep' line.

    • Separate recurring and one-off work

Keep the fixed monthly fee distinct from extra hourly work so clients understand what is routine and what was additional.

    • Add your credentials

If you are a CPA or enrolled agent, your designation and firm details on the invoice reinforce professionalism.

    Accounting & Bookkeeping invoice FAQ

Should bookkeepers charge hourly or a flat monthly fee?

Many bookkeepers prefer a flat monthly fee based on transaction volume and number of accounts, which gives clients predictable costs. Hourly billing is still common for cleanup, catch-up and advisory work. The template supports both on one invoice.

When should an accountant invoice for tax preparation?

Some firms bill when the return is delivered for signature, while others collect a deposit at engagement and the balance before filing. Whatever you choose, state it in your engagement letter so it is not a surprise.

Is it okay to require autopay for monthly bookkeeping?

Yes, many firms ask clients to keep a card or bank account on file for recurring fees. Disclose the amount and billing date clearly and send an invoice or receipt each month for the client's records.
