What to include on a construction invoice
Add the job number and site address
Large clients often run several projects at once. A job or PO number plus the street address keeps your invoice from sitting in the wrong approval queue.
List permit and inspection fees as pass-throughs
Show government fees at cost on their own lines, with the permit number. It's clearer than burying them in overhead and easier to justify if questioned.
Separate equipment from operator time
When you rent heavy equipment, note whether the rate includes an operator. Clients comparing bids appreciate seeing machine hours and labor hours side by side.
Mention lien waivers
On many commercial jobs, payment is released only with a conditional lien waiver. Note on the invoice that one is attached or will follow on receipt of funds.

Payment terms for construction invoices
Our suggestion: Net 30 for commercial clients; monthly progress billing on longer projects.
Sample terms you can paste into the invoice: “Net 30 from invoice date. Lien rights are reserved until paid in full. Late balances incur interest at 1.5% per month or the maximum allowed by law.”

At minimum: your business and license details, client and site information, job or PO number, itemized labor, materials and equipment, any permit pass-throughs, the amount due and payment terms. Commercial clients may also require a schedule of values and lien waiver.
Can I file a mechanic's lien if a construction invoice goes unpaid?
In most US states, contractors and suppliers have lien rights, but strict notice deadlines apply and some require a preliminary notice before work begins. Missing a deadline can forfeit the right. Talk to a local construction attorney about the rules where the project sits.
How often should I invoice on a long construction project?
Monthly progress billing is typical for commercial work, while residential jobs often bill at milestones like foundation, framing and drywall. Whatever you choose, put it in the contract so the client expects each invoice.
